Request for Quotation for provision of conference support services during the USAID/ENGAGE Integrity & Unity Forum on November 19-20, 2019

1. Introduction

Building on a decade of experience, we address key challenges facing civil society organizations in Ukraine. A nonprofit international development organization founded in 1971, Pact works on the ground in more than 30 countries to improve the lives of those who are poor and marginalized. The purpose of the USAID-funded Enhance Non-Governmental Actors and Grassroots Engagement activity implemented by Pact in Ukraine (hereinafter – “USAID/ENGAGE”) is to increase citizen awareness of and engagement in civic actions at the national, regional and local level. ENGAGE is premised on the idea that if citizens are aware and engaged in civic actions, then local and national governance processes will be more representative, participatory, and accountable to Ukrainian society. Pact therefore will enhance civic education; foster effective national, regional and local civic coalitions and initiatives to promote democratic reforms; improve organizational capacity of partner CSOs; develop local capacity to ensure long-term civic engagement in democratic reforms.

2. Requirement/Technical Specifications

Provision of conference support services during USAID/ENGAGE’s third annual Integrity & Unity Forum (PlatForum) that will take place on November 19-20, 2019 in Kyiv. This year’s Forum will be held in a classic conference format. The purpose of the Forum is to encourage CSO participants to develop strong links with their own constituencies to create a driving force in championing their demands. It is expected, that the total amount of participants will up to 400 people, where 50% will come from the regions, 50% from Kyiv City. Duration of the event will be 1.5 days, which includes the whole of November 19, and half a day on November 20. The Forum will take place in downtown Kyiv City. The event will consist of several panel discussions and parallel discussion where all participants will be divided into three groups. An entertaining program is planned in the evening of the first day for all the participants.

Integrity & Unity Forum is an annual event conducted by Pact that aims at raising awareness among civil society activists of the need to unite and cooperate around the most important problems of the Ukrainian society and to increase the level of their engagement in solving of these problems.

Please submit your quotation for supply and delivery of the items listed below.

3. Eligibility

In order to be considered for award, Vendors must be currently legally operating in Ukraine and the quotation must include all of the following information:

  • Ability to meet or exceed the Requirements/Technical Specifications outlined in Section B;
  • Ability to deliver the items/services specified in Section B no later than the date(s) required.

4. Submission Instructions

Electronic submissions must be received at the address specified below by November 3, 2019.

Submissions must be forwarded in electronic format only (either PDF or Microsoft Word and Excel) to tenders.engage@pactworld.org. Quotations should not contain any unnecessary promotional material or elaborate presentation formats (black and white is preferred). Vendors must not submit zipped files. Those pages requiring original manual signatures should be scanned and sent in PDF format as an email attachment. Please indicate “RFQ P4767-2019-03” in the e-mail subject line.
